How many phone numbers does your business need? A simple number strategy

It’s easy to end up with too few numbers, where every call lands in one queue with no context, or too many, a sprawl of forgotten numbers still costing money every month. A simple strategy avoids both.

Start from what callers need

Ask three questions:

  1. Where are my callers? One number per country, or per key city, where local presence matters.
  2. Why are they calling? Separate numbers for sales, support and billing let you route and report without an IVR.
  3. How did they find us? Tracking numbers per campaign or channel show which marketing works.

A typical setup

BusinessNumbers
Freelancer or small firm, one market1 local number, forwarded to mobile
Growing SME, one country1 main local number + 1 support or toll-free + direct numbers for key staff
Multi-country B2B1 local number per country + 1 toll-free in the biggest market
Outbound sales team1 local number per target region
Contact centre1 number per service per country, plus campaign numbers

Direct numbers for people

Account managers and senior staff often benefit from direct numbers that customers can save. With a cloud phone system or Microsoft Teams, each user can have their own DID without extra hardware.

Campaign and tracking numbers

A unique number on each ad, brochure or landing page is the simplest form of call tracking. Retire campaign numbers carefully: keep them routed for a few months after the campaign ends, because people keep old flyers.

Keep it tidy

  • Name every number in your portal by purpose and owner.
  • Review quarterly. Numbers with no calls in six months are candidates for removal, unless they’re printed somewhere permanent.
  • Don’t release numbers carelessly. Once released, a number may go to someone else. If it’s on old materials, keep it and route it to your main line.

Frequently asked questions

Is it expensive to have many numbers?

Each number has a monthly fee, so costs scale with count. Volume pricing and consecutive blocks help at scale.

Can multiple numbers ring the same place?

Yes. Any number of DIDs can route to one queue, user or phone.
